Update

New service coming online soon; content freeze on the ASU Event Registry website continues

The ASU Event Registry launch on the new web hosting platform has been delayed due to technical issues. As a result, no new Event Registry form submissions or modifications will be accepted on the website until further notice.

Further, a new system for submitting and managing event registrations will be launched on the ServiceNow platform, replacing the current website. While this system has been in development for many months, it is currently undergoing testing and is expected to launch in early August.

Instead of re-opening the current website only to have it shuttered soon after for the new system, the Event Registry stakeholders have decided that no new Event Registry form submissions will be accepted until the new ServiceNow system is launched.

Impact to existing website forms and access

User may still view events and information on the ASU Event Registry website during the content freeze, but no new registrations or modifications will be accepted. 

Action from Event Organizers

If you’re hosting an event that takes place before August 15, 2025, you should reach out to necessary Safety teams directly.

In addition, if your event meets any of the criteria below, you will also need review and approval by the Provost Office (for all academic units) or your unit's Vice President office (for non-academic units).

EVP/SVP Approval Criteria:

Is the event:

• Open to the general public?
• Expecting attendance over 250?
• Having a non-ASU organization or individual involved in organizing?
• Having speakers or presenters?
• Inviting elected or government officials, or other public figures?

If you answer 'Yes' to any of these questions, your event needs to be reviewed and approved by the Provost Office (for all academic units) or the Vice President's office (for non-academic units).

Events that involve alcohol

If your department is planning an event during the content freeze that involves alcohol, you must still submit an ASU Alcohol Permit Request directly to the Office of Risk Management. If you have any questions, please consult the Alcohol Permit page on ORM’s website.

Room reservations that require an Event Registry number

If you are reserving rooms at a venue that normally requires an Event Registry number, you should contact the venue and see what (if any) accommodation they can make for you.

Once the ServiceNow system is launched, you will be able to provide the venue with an event number.

Action from Safety and Approval Teams

Any communications, including approvals and permits, that need to be provided before the launch of the ServiceNow system should be sent directly to the event coordinator. 

What to expect

When the ServiceNow system is ready to launch, announcements and information will be posted on the ASU Event Registry website, emailed to all Registry users, and posted to the MECA Slack channel.
