As of Mar 14, 2022 until further notice the Guidelines for In-Person Events and Meetings have been updated to lift the additional precautions implemented to protect our community health during a time of high transmission risk.

Events with attendance over 250 attendees will generate an automatic notification to the appropriate Dean/VP with details that you have provided for their review. If your Dean/VP has questions or concerns regarding your event they will contact you directly. For more information visit ASU In-person Events Meeting Guidelines.

If your special event requires permits, licenses or safety approvals, the safety collaborators will be in contact with you and notifications will be posted on your event profile. However, feel free to contact them anytime.

Fire Safety Guidelines:

All events are required to follow ASU Fire Marshal’s Office Safety Guidelines regardless if a permit is required.

Certificate of Insurance from Vendors:

Vendors are required to provide ASU with a Certificate of Insurance. Coordinators who use vendors not listed in SunMart are responsible for collecting and validating COIs from vendors. See Insurance Services for more information on collecting and validating Certificates of Insurance

The ASU Event Registry website facilitates communication with the ASU safety and facilities departments, and university leadership, which review information regarding special events to be hosted on behalf of ASU and ASU property. Reviews ensure that all safety requirements have been considered and at their discretion, Safety Teams may use the information provided in the submitted Special Event Registry form to expedite any permits or approvals required by their departments.

The ASU Event Coordinator, and ASU unit producing the event, are responsible for:

  • Obtaining event approval from the appropriate department/unit supervisor;
  • Obtaining necessary permits, licenses, and safety approvals required by ASU policy, local government, and/or State of Arizona laws;
  • Obtaining Certificate of Insurance from non-SunMart vendors;
  • Keeping appropriate Safety Teams informed of any changes to the event information provided in the Special Event Registry form.
